Privacy Policy

This Privacy Policy describes how Closync ("Closync," "we," "us") collects, uses, and shares information when you use closync.ai, any Closync subdomain (for example, app.closync.ai, demo.closync.ai, or a workspace-specific subdomain), our web and mobile applications, and related services (collectively, the "Services").

1. Information we collect

  • Account information. Name, email address, password hash, workspace name, and organization details you provide at signup.
  • CRM content. Contacts, deals, activities, notes, and messages that you or your integrated CRM (Pipedrive, HubSpot, etc.) send to the Services.
  • Integration credentials. OAuth tokens and API keys you authorize us to store so we can connect to third-party services on your behalf.
  • Messaging metadata. When you connect channels such as WhatsApp, email, or Facebook/Meta platforms, we process message content and metadata needed to route, enrich, and log conversations inside your CRM.
  • Usage data. Log data, device information, IP address, and interaction events used for security, analytics, and product improvement.

2. How we use information

  • Provide, maintain, and improve the Services.
  • Sync data between your CRM and connected channels.
  • Authenticate users and secure accounts.
  • Respond to support requests and communicate product updates.
  • Comply with legal obligations and enforce our terms.

3. Third-party integrations

The Services integrate with third parties you choose to connect, including Pipedrive, HubSpot, Meta (Facebook, Instagram, WhatsApp), Google, and AI model providers such as Anthropic and OpenAI. When you authorize an integration, we exchange information with that provider solely to deliver the functionality you requested. Each provider's own privacy policy governs how they handle data on their side.

4. Meta platform data

If you connect a Meta product (Facebook Login, WhatsApp Business, Instagram Messaging, or similar), we receive only the permissions and data scopes you approve. We use Meta platform data to sync messages and related metadata into your CRM, keep your session authenticated, and show you the integration status. We do not sell Meta platform data, and we do not use it to build advertising profiles.

5. Data sharing

We do not sell personal information. We share information only with: (a) service providers that host infrastructure or process data on our behalf under confidentiality obligations; (b) integrations you explicitly authorize; (c) authorities when required by law; and (d) an acquirer in the event of a merger or asset sale, subject to this Policy.

6. Data retention

We retain account and CRM data for as long as your workspace is active. You may request deletion at any time by emailing closyncai@gmail.com. We will delete or anonymize personal data within 30 days of a verified deletion request, except where retention is required by law.

7. Security

We use encryption in transit, access controls, and audit logging to protect the Services. No system is perfectly secure; please use a strong password and notify us promptly if you suspect unauthorized access.

8. Your rights

Depending on your location, you may have rights to access, correct, export, or delete your personal data, and to object to or restrict certain processing. Contact us at closyncai@gmail.com to exercise these rights.

9. Children

The Services are not directed to children under 16.

10. Changes to this policy

We may update this Policy from time to time. Material changes will be announced via the Services or by email. Continued use after an update constitutes acceptance.
